SUMMARY OF CUSTOMER SERVICE REPRESENTATIVE:
National manufacturing and technology company is offering career opportunities to a Customer Service Representative. The Customer Service Representative provides customers with information related to pricing and availability of parts and delivery information, processes customer parts orders, and embraces the Lean Enterprise strategy of relentless continuous improvement and adheres to all safety policies.
REQUIREMENTS FOR CUSTOMER SERVICE REPRESENTATIVE:
• High School diploma
• Minimum (3) years industry experience. Sales or Customer Service Experience
• Strong skills in using Microsoft Office Suite
• Basic technical knowledge of parts
• Quick learner
• Effective communicator

• Ability to multitask and handle multiple priorities

RESPONSIBILITIES FOR CUSTOMER SERVICE REPRESENTATIVE:
• Performs all activities related to customer spare parts orders, including entering orders, processing sales orders, printing packing slips, reviewing back orders and posting orders to be invoiced.
• Prints and mails out daily invoicing of Spare Parts Orders and Service billing.
• Enters and maintains customer information in the CRM (Customer Relationship Management) system.
• Works closely with Shipping and Receiving personnel related to shipments of spares.
• Works directly with the help desk to support customer’s requests.
• Supports the departmental lean SQDC (Safety, Quality, Delivery, Cost) performance board.
• Constantly maintains and requests price checks for parts.
• Issues RMA’s (Return Material Authorizations) while working with the Parts Sales Team to minimize customer returns.
• Forwards information to purchasing for new part numbers to be entered into the ERP System.
• Provides back up for scheduling trucks for shipments.
• Reviews and approves trucking invoices within established parameters.
• Prepares invoices for trucking expenses related to all shipments including test equipment.
• Invoices customers for all sales orders for equipment and freight cost.
• Expedites and track shipments of parts.
• Communicates within and outside the aftermarket department to ensure customer orders are completed on or before due date.
• Works directly with Purchasing/Sourcing departments as well as vendors to coordinate direct shipments and provide feedback to customers about technical details.
• Attends weekly spare parts meeting and communicates delivery times to customers.
• Provides feedback from customers to managers.
• Suggests inventory adjustments for fast selling parts.
• Provides customers with information related to pricing and availability of spare parts.
• Prepares customer quotes for parts.
• Provides customers with delivery information.
• Issues RMA’s (Return Material Authorizations) to customers.
• Constantly follows up on quotes and promotes actively part sales business.
• Reports and tracks any competitor activities in terms of pricing, delivery times, availability and activity.
• Elevates customer questions or complaints to the Help Desk for spare parts or to the Customer Service Manager as needed.
• Ensures customer follow-up on all open issues or promises.
• Creates documentation to share information with fellow employees.
• Provides research on product lines to determine appropriate parts when part number is not available or obsolete.
SCHEDULE AND PAY RATE OF CUSTOMER SERVICE REPRESENTATIVE:
• Work hours: Monday - Friday / 8:00 am to 5:00 pm
• Up to $28.00/ hour-Based on Experience
